What is an offer letter in LEDGERS?

An offer letter in LEDGERS is a formal employment document generated within the HR module that captures candidate details, designation, department, salary components, and date of joining. It can be customised, sent via email, and tracked until the candidate signs and returns it.

How do I create an offer letter?

Go to HRMS → Employee → Manage Offer Letter and click the + button. Fill in candidate details on the first tab, configure salary components (earnings, deductions, PF, ESI) on the Salary Setup tab, then click Create Offer Letter. The system sends an email to the candidate automatically.

Can I customise the salary structure in the offer letter?

Yes. The Salary Setup tab lets you add earning components (Basic, HRA, Special Allowance), deductions, Provident Fund type, and ESI settings. The system calculates Gross Earnings, Total Deductions, CTC per month, and CTC per annum in real time.

How does the candidate receive the offer letter?

Once you click Create Offer Letter, the system immediately dispatches the offer to the candidate's registered email address. The email contains the offer details and the status in LEDGERS updates automatically from Draft to Mail Sent.

What statuses can an offer letter have?

An offer letter moves through two statuses: Draft (created but not yet sent) and Mail Sent (emailed to the candidate). HR can monitor all offers and their planned joining dates from the Manage Offer Letter dashboard.

Does offer letter salary data flow into payroll?

Yes. Salary components defined in the offer letter - including CTC, allowances, and deductions - are directly linked to the payroll module. This eliminates manual re-entry and keeps salary information consistent from hiring through to payroll processing.
