What is E-Invoice in Ledgers

E-invoicing is the concept in which the government of India has introduced the registration and verification of all your invoices on a central government portal before it is further sent to customers. It's different from creating a PDF invoice. In e-invoicing, every invoice gains an IRN (Identity Reference Number) and a QR code provided by the government system with which it becomes valid in law.

How E-Invoice Works in Ledgers

When you prepare a sales invoice in Ledgers for companies that require e-invoicing, it does not only store it in your account but performs several other functions in mere seconds. It automatically submits your invoice data to the Invoice Registration Portal for validation by the IRP, assigns an IRN, adds a digital signature to it, and produces a QR code on it. Once authenticated, the IRN and QR code will be received back by Ledgers, along with being reflected in your bill. Your electronic bill is now ready to be sent to your customer. Additionally, this information will also be sent automatically to your GST portal as well as your e-way bill portal.

Who Needs E-Invoicing

At present, every business with a turnover above a certain limit needs to implement e-invoicing. The government is repeatedly reducing the limit to include more businesses in the scheme. As soon as your turnover for a year exceeds a certain limit, e-invoicing applies to all your B2B invoices. Ledgers manages this requirement and notifies you when it is necessary to perform e-invoicing. There is no need to worry about the requirement levels for e-invoicing since the system manages this according to your type of business.

Benefits of E-Invoice in Ledgers

The biggest advantage is reduced manual work. Your invoice data automatically populates in GSTR-1 returns, eliminating data entry errors and saving time during tax filing. You also don't need to generate e-way bills separately because the system creates them directly from your e-invoice.

E-invoicing reduces disputes with customers because the government portal validates all details before the invoice is issued. If there's any mismatch in GSTIN or HSN codes, you'll know immediately and can fix it before the customer receives the invoice.

For audit purposes, having government-verified invoices with IRNs gives you strong documentation. The QR code on each invoice can be scanned to verify authenticity instantly, preventing fraud and fake invoices.

Ledgers makes e-invoicing seamless by handling all the technical integration with government portals. You just create invoices like normal, and the system takes care of the rest, keeping you compliant without extra effort.
